Practice Manager

Position Overview

As the leader of the team, the Practice Manager ensures that the office runs smoothly from open to close. We believe in our team and Practice Manager’s ability to help us provide high quality, patient centric, and compassionate care to the community. The practice manager is responsible for the daily operations of the practice from managing staff to handling patient interactions. Duties include assisting with the onboarding process of new hires, providing training for staff, monitoring key performance indicators, and handling patient complaints and concerns effectively. The Practice Manager is proactive in anticipating and responding to the needs of a growing practice. This is a leadership position with the additional responsibility of ensuring a positive work environment in which the practice achieves its goals.

Specific Responsibilities

    • Maintain an office environment that ensures optimal client care and customer service.
    • Set the tone for accountability and professionalism in the office.
    • Interact with clients with warmth and compassion and gains client feedback.
    • Address patient complaints in a compassionate and timely fashion.
    • Manage all personnel activities of the administrative staff. Support and oversee the activities of the clinical staff. Recruit, interview, hire, train, and evaluate administrative employees. Ensure all employees are appropriately trained.
    • Ensure payroll is accurately completed and submitted for all staff.
    • Supervise daily practice operations such as billing, accounts receivable, security and occupational health and safety.
    • Maintain updated client records.
    • Maintain building operations records. Coordinate maintenance and repairs for the offices.
    • Evaluate and review office production and procedures to develop new ways to improve efficiency with office operations, patient retention and profitability.
    • In collaboration with the leadership team, monitor key performance indicators.
    • Respond promptly to changes in workload or staffing assignments as necessary to achieve optimal productivity and efficiency considering staff skills and experience.
    • Monitor computer systems and work with the IT personnel to resolve technical systems/equipment issues.
    • Provide thought leadership on methodologies, tools, training and resources for our family style culture, employee experience and engagement.
    • Ensure policies and best practices are up to industry standards and regulations. Ensure HIPAA regulations are followed.
    • Maintain sensitivity, understanding, and respect for a diverse environment, inclusive of clients and staff of varying social, economic, cultural, ideological, and ethnic backgrounds.
    • Perform assigned duties in a manner consistent with the mission, goals, and core values of the practice
    • Other duties as assigned.

Minimum Qualifications

    • Bachelor’s degree required. Equivalent office management experience (3+ years) will be considered.
    • Proven experience working in a managerial position in a clinical or medical setting
    • Strong leadership, organizational and administrative skills.
    • Excellent customer service with a client focus
    • Reporting and data analysis skills.
    • Demonstrated proficiency in MS Office Word, Excel, Google Forms, and Google Sheets.
    • Ability to work independently and take initiative.
    • Problem solving and resolution management skills.
    • Excellent interpersonal, verbal, and written communication skills, with a good eye for detail

Clinical Therapist Position, Child and Family Specialist

Clinical Therapist Position

Prior training in attachment focused therapy, Emotionally Focused Therapy (EFT), trauma informed therapy, EMDR, play therapy, family therapy, CBT and/or ERP, or LGBTQ issues is a plus. Administrative Assistant Job Description

Position Overview: Center for Counseling and Education (CFCE) is seeking a PART-TIME Administrative Assistant. Administrative Assistant will work 25 hours per week, Monday – Friday, 2 pm – 7 pm, supporting the front and back end of our business, including scheduling client calls, billing, client support, and ensuring our staff is supported. The position has the potential to grow to full-time.

NOTE regarding COVID: The safety of our employees is our priority. Until it is safer, most of our therapists are working virtually. This position requires in office work. Administrative staff hours are staggered so that only one person is working in the office at a time with minimal face-to-face contact with others.

Reports to: Office Manager

Duties/Responsibilities:

  • Manage calls from clients and keep the information updated within our confidential google drive.
  • Manage intake paperwork collection and ensure EHR files are accurate.
  • Assume responsibility for maintenance of office equipment and office appearance.
  • Regular and reliable attendance and timely arrival to work are required.
  • Attend mandatory staff meetings and training as directed by the Center for Counseling and Education.
  • Passion for working with others (being collaborative) and helping our team members grow and learn.
  • Other duties as may be assigned.

Qualifications and Skills:

  • Align with the Center for Counseling and Education’s mission, vision, and values.
  • Must be punctual in reporting to work.
  • Be organized and detail-oriented.
  • Be a team player.
  • Be able to work independently on tasks assigned.
  • Have strong written and verbal communication skills and strong interpersonal skills.
  • Proficiency in using Google sheets, docs, forms, and drive
  • Ability to use Microsoft Publisher to create flyers preferred.
